A volunteer rotation that comes round fairly
Split your children's ministry volunteers into teams that take turns, a few Sundays each. Pick how many teams and how long each turn is; the tables show how often each team is back, and a worked year you can copy or print.
How often each team serves
Each team takes a block of Sundays in a row, then the next team takes over. More teams means each one serves less often; longer blocks mean fewer handovers but longer stretches on duty.
| Teams taking turns | 1 Sunday at a time | 2 Sundays at a time | 4 Sundays at a time | Sundays a year, each team |
|---|---|---|---|---|
| 2 teams | every 2 weeks | every 4 weeks | every 8 weeks | 26 to 26 |
| 3 teams | every 3 weeks | every 6 weeks | every 12 weeks | 17 to 18 |
| 4 teams | every 4 weeks | every 8 weeks | every 16 weeks | 13 to 13 |
| 5 teams | every 5 weeks | every 10 weeks | every 20 weeks | 10 to 11 |
| 6 teams | every 6 weeks | every 12 weeks | every 24 weeks | 8 to 9 |

A year has 52 Sundays, sometimes 53, so a rotation that doesn't divide evenly gives one team an extra block now and then; start next year with the team after the one that finished this year. A planning aid, not advice. Last reviewed October 2026.
Making it work
- Size each team for a Sunday. A team needs every room's adults, two at least in each, plus a spare or two. The ratio table and how many volunteers work that out.
- Swap, don't skip. When someone is away on their team's Sunday, they trade with someone on another team rather than leave a room one adult short.
- Print it once a year. Put the team names and dates on the wall and in the bulletin: people plan around a rotation they can see.
Let Arkrooms run the rotation
Arkrooms takes your teams and the blocks, schedules every room with two adults, follows your rules, and handles the swaps and subs when someone can't come.
